Westwood and UCLA-Area Students: Live Scan and Notary FAQ
Westwood sees a constant flow of students, researchers, healthcare staff and visiting families. Between internships, clinical placements, volunteer roles and travel documents, many of them end up needing a fingerprint scan or a notarized signature at the same time as midterms. This FAQ covers the questions we hear most. We are an independent mobile service, not affiliated with any university.
Do I need fingerprints for my internship or placement?
That depends on the organization asking, not on us. Schools, clinics, volunteer programs and employers each set their own rules. Ask the coordinator or HR contact whether a Live Scan is required, and request the agency's Live Scan Request form. We cannot tell you whether your role needs one or choose codes on your behalf.
What do I bring to a Live Scan appointment?
Three things: the completed Live Scan Request form with the agency's codes, a valid government-issued photo ID, and a way to pay the applicable fees. If you are unsure about any detail on the form, check with the requesting office before your appointment.
Can you meet me near campus or at my apartment?
Mobile service means we come to a suitable place, such as an apartment, an office, a study room or another quiet spot. Pick somewhere you can sit, with enough light, and where we can verify your ID. If you live in shared housing, confirm your roommates are aware a visitor is coming.
What if my parent has to sign a form for me?
A notary can only notarize for people who are present, so the signer has to be there in person. If a parent lives out of state, they cannot sign remotely for us to notarize. Ask the receiving office what their alternatives are, since we cannot advise on that, and consider asking for the form well ahead of your deadline.
Which ID works?
A valid government-issued photo ID is the standard. Student ID cards alone may not be enough, and an expired ID cannot be accepted. Bring the real card, not a photo of it.
How do I avoid a rejected fingerprint scan?
Wash and dry your hands before your appointment, and skip heavy lotion. Students who handle chemicals, paper, or tools may have worn fingertips, and rejections can happen for reasons unrelated to anything you did. If it happens, we follow the agency's instructions for what to do next.
Can several of us book together?
Yes. A department, lab or student organization onboarding multiple people can schedule a group session. Each person still brings their own form and ID, and we can plan for the number of people when you book.
Will you tell me the result?
No. We capture and submit your prints. We do not see or interpret results, and we cannot decide eligibility. Contact the requesting agency for any questions about outcomes.
What about timing around exams and shifts?
We offer evenings, nights and weekends when available, along with overnight and after-hours appointments. Tell us your free window, and we will see what fits.
Westwood has a strong medical and academic community, with many people on irregular hours. If that sounds like your calendar, reach out early so there is room to schedule.
